Event Management With OneCard

Football games. Concerts. Recreation center. Seminars. Political debates. Parties. Musical theater. Health center. Swimming pool.

What do all these items have in common? They are events or services that students access throughout the school year, or perhaps even on a daily basis. They are also items that can be managed with the OneCard through the Heartland Campus OneCard System Event Management module.

We often hear of dining and access control, or mobile use, when speaking about campus cards. These are the most often used modules. But we don’t often discuss or hear about how the OneCard can help a campus manage events and services to their students and how it can make accessing these events and services so much easier.

The Campus OneCard System Event Management module allows a campus to define a virtually unlimited number of events or services. You can assign these events and services to your students, or cardholders can purchase events and services.

When creating an event, the campus has the ability to define when the event will occur, if someone is allowed to enter more than once, if they can be issued the event more than once, and the maximum seat count for the event. As an example, let’s look at a football game. Simply set the cost for entrance to the game, when it will be, how many student seats are available for sale, if someone can buy tickets to the game for friends, and if they are allowed to exit the stadium and then re-enter. Many stadiums do not allow re-entry, so this feature will help prevent students from passing their card to another individual to try to get in. You can also group events together to allow for the purchase of multiple events at a discount, for example, football season tickets.

On-going use of a facility such as the health or recreation center is most often defined as a service. Services allow for a price to be set for the use of the service with a date range for use. The date range can be set for a specific start and end date or as a variable where it is a period of time from the time of purchase. For example, let’s say a student is purchasing a membership to the swim facility, you can define that the membership is good from January 1 to December 31, or you have the ability to set a variable service where it is good for one year from the date of purchase perhaps.

Once events and services are defined in the system, it allows for ease of management to your cardholders. They can simply go online to sign up or purchase these events and services right from your campus card website and soon from a mobile application. This will help reduce foot traffic to various offices and allow you to automate the sale of events and services to your students.

Additionally it allows for the reduction of paper ticketing since your students can access the events and facilities with their OneCard. Any number of our terminals can be used to validate that someone has the rights to attend an event or access a campus service, such as our Quattro terminal or MultiDoor Controller. My personal favorite, though, is our mAuthenticate mobile application. This will allow you to accept the campus card for entry from any iOS or Android device with an attached card reader. It is flexible, portable, and allows you to use existing smartphones, tablets, or other devices for card validation, which can save money. Simply provide these devices at your student entry to the event to validate the cards. You may even set up mAuthenticate for self-service by the students with someone monitoring that the card passes.

The Event Management module can help your campus provide an efficient event experience while reducing paper tickets and using standard mobile devices for acceptance. Don’t maintain a separate system with another database when you can simply use OneCard to meet your event management needs.
